Compliance Guidelines Updates and Reminders

As the Managing Agent for the Villages of Prairie Commons Homeowners Association, Inc., we would like to address some general compliance issues and updates. Your cooperation is crucial in ensuring that Villages of Prairie Commons remains a pleasant place for all residents.
Compliance Guidelines:
1. Lawn Mowing Regulations: Please ensure your lawn is mowed, edged, and trimmed regularly. Grass that exceeds the community's height limit (about 5-6 in) is considered a violation. Clippings should not be dumped into storm water sewers. Consistent lawn maintenance helps keep our community looking neat and well-kept.
2. Architectural Control Requests (ACC): For any outdoor home modifications, including the installation of solar panels, please submit an Architectural Control Request (ACC) and adhere to the required guidelines before commencing with any modification.
3. Trash Can Visibility: All trash cans must be hidden from view on non-trash days.
4. Curb Parking Restrictions: It has come to our attention that various residents and visitors have been parking their cars on the curb or on a lawn near the curb. Doing so has been damaging important irrigation and drainage sections of our community. Please park personal vehicles in the driveway and ask visitors to park fully on the street. Additionally, parking near STOP signs must be at least 30 feet apart (according to city law) and failure to do so is a violation.
Important reminder about Hoa and City Regulations: While the City does have important regulations, please remember that as residents of Villages of Prairie Commons, you must abide by our community’s Covenants, Conditions, and Restrictions (CCR) rules. City rules are not applicable everywhere within our community, so always refer to the CCRs for guidance. If the CC&Rs are silent on a topic, you may refer to the city’s guidelines for reference.
Example of a Violation and Escalation Process:
Violation: Grass was found to be 8” in a front lawn. (07/11/2024)
Process:
1. Courtesy Notice – The homeowner receives an initial courtesy notice of the violation. (07/11/24)
2. 10-Day Appeal Period - The homeowner has 10 days to either rectify the issue or appeal the notice by contacting our office. (07/11/24 - 07/25/24)
3. Second Notice - If the violation is not rectified within 10 days, the homeowner receives the notice of violation via regular and certified mail. (07/25/24)
4. 3rd Notice/Fine Warning Notice – If the issue remains unresolved, a fine warning notice is sent by regular and certified mail (08/08/24)
5. 1st Fine – A fine is imposed & fine notice is sent by regular and certified mail. (30 days from first notice) (08/11/24)
6. 2nd Fine – Fine is increased & notice sent regular and certified mail. Fine may be levied per occurrence.
7. 3rd Fine – Fine is increased & notice sent regular and certified mail. Fine may be levied per occurrence. a. *Self-help request may be initiated at the Board’s discretion at any point in the violation process depending on the violation type and severity. In this case, the board would hire the landscapers to complete the lawn work needed and it would be billed to the homeowner.
